For each input, record what is counted, the unit, the period and where it came from. “420” could mean £420 for an event, €420 per month or 420 minutes of labour. Those are different inputs, not formatting choices.
Keep verified facts, supplied observations and assumptions visibly distinct. A supplier's quote may be verified for a specific date, while your estimate of setup time is an assumption. Do not let both acquire the same authority merely because they occupy adjacent rows in a table.

Write the desired output before calculating
State the decision in one sentence: “Can this one event fit within a £420 budget?” That requires a one-event total in pounds, not a monthly subscription equivalent or a figure in another currency.

If the supplier bills for a minimum session rather than exact minutes, the calculation must use that billing rule. Do not substitute a convenient arithmetic assumption for the quote's terms.
For comparisons, put both alternatives on the same basis. A monthly fee cannot be compared directly with a yearly total. A per-person charge needs the relevant number of people, and a per-project charge should not be multiplied by hours unless that is actually how it is billed.

Keep durations separate from clock times. A session from 09:30 to 11:00 lasts 90 minutes, but a spreadsheet may store the displayed times in a format that needs the application's documented calculation method. If you do not understand that representation, use explicit duration inputs in the planning calculation rather than guessing.
Do not add a weekly and monthly workload without aligning periods. If a recurring schedule has variable numbers of sessions, count the actual sessions for the period you are deciding about. A neat four-week approximation may be unsuitable for an annual commitment.
Track currency direction and the amount actually payable
Write an exchange rate with its direction, such as an illustrative “£0.85 per €1”. Then a euro amount is multiplied by 0.85 to estimate pounds. A rate stated as euros per pound requires the opposite operation for that conversion.
Use current, appropriate evidence for a real decision. The Bank of England explicitly says its published exchange rates are not official rates and are no more authoritative than those of a commercial bank in the London market. For a purchase, inspect the supplier's currency, the payment provider's conversion and any disclosed charges. Record when the quote was obtained. If you do not know the actual payable amount, show a provisional estimate and identify what must be confirmed.
Do not guess whether tax applies or whether it is included. Check the relevant invoice or quote and obtain qualified advice for a jurisdiction-specific tax question. A calculation can state “tax excluded and not assessed here” rather than quietly assuming a universal rate.
Work through a £420 event budget
Consider a fictional event planner with a £420 budget. Assume a facilitator charges £72 per hour for 240 minutes of delivery, preparation is a separate fixed £35, and a materials item is quoted at €48. All figures are illustrative assumptions, not current market prices.
First convert delivery duration: 240 minutes ÷ 60 = 4 hours. Delivery costs 4 × £72 = £288. Add preparation: £288 + £35 = £323.
For illustration only, assume a conversion rate of £0.85 per €1 and a separate £2 payment charge. Materials cost €48 × £0.85/€1 = £40.80. Including the assumed charge gives £40.80 + £2 = £42.80.
The planned total is £323 + £42.80 = £365.80. Remaining budget is £420 minus £365.80 = £54.20. Tax is excluded and not assessed in this example; the result is not approval to spend until the actual payable charges are established.
Now suppose the event also needs 45 minutes of paid follow-up at the same fictional hourly rate. That is 45 ÷ 60 = 0.75 hours, costing 0.75 × £72 = £54. The revised total is £365.80 + £54 = £419.80, leaving only £0.20.
The arithmetic still fits the stated budget, but the decision changes: there is effectively no margin for any unconfirmed charge. The sensible next step is to obtain a complete quote or reduce scope, not celebrate a precise total. The missing scope mattered more than the multiplication.
Check rounding and assumptions separately
Retain sufficient precision through intermediate calculations and round at the stage required by the actual billing rule. Do not invent that rule. If each line is rounded separately, the total can differ from rounding only the final sum.
Mark a rounding difference as such rather than assuming it explains every mismatch. Recalculate the units, input values and billing scope first. An unexplained £20 difference should not be dismissed as rounding because the output contains decimal places.
For uncertain quantities, calculate a clearly labelled alternative using a plausible assumption you choose, not a prediction the model invents. Show which decision changes when the input changes. Do not attach a probability unless you have evidence for it.
Keep time released separate from money saved. If an AI process reduces a volunteer's work by half an hour, that is useful time, but it does not reduce a cash budget unless a real expense changes.
Check one calculation in fifteen minutes
- Spend five minutes collecting source values and writing the requested output unit and scope.
